Community Space Reservation Policy
The Fallsburg Public Library welcomes the use of its Community Space by local organizations, community groups, businesses, and individuals for educational, cultural, civic, and informational purposes that are consistent with the Library’s mission.
Submitting a reservation request does not guarantee approval. All reservations are subject to Library review and availability.
Eligibility
- The reserving individual must be at least 18 years of age.
- Has a Fallsburg Library card or an organization that helps the Fallsburg community.
- The person making the reservation must be present for the duration of the event and is responsible for the conduct of all attendees.
- Preference will be given to Library-sponsored programs and events.
Reservations
- Reservations must be submitted through the Library’s online reservation system.
- Reservations are accepted on a first-come, first-served basis.
- Requests should be made at least 7 days in advance.
- Reservations are not confirmed until approval is received from Library staff.
- The Library reserves the right to deny or cancel reservations if necessary.
Hours of Use
Community Space reservations are available only during normal Library operating hours. Events must conclude in time for cleanup before the Library closes.
Fees
There is no charge to reserve the Community Space unless being used for a program or event. The fee is $25 in cash or by check.
Permitted Uses
The Community Space may be used for:
- Educational programs
- Community meetings
- Nonprofit organization meetings
- Civic and cultural events
- Workshops and presentations
- Business meetings (provided they are not primarily for sales)
Prohibited Activities
The following are not permitted:
- Activities that interfere with normal Library operations
- Illegal activities
- Events that exceed room occupancy limits
- Gambling
- Open flames or candles
- Smoking, vaping, or tobacco use
- Alcohol or illegal drugs
- Sales of goods or services unless specifically approved by the Library
- Activities that create excessive noise or damage Library property
Food and Beverages
Light refreshments may be permitted with prior approval. Groups are responsible for cleaning up all food and beverage waste.
Equipment
Available equipment may include tables, chairs, projector, white board, or other equipment as determined by the Library. Equipment must be requested during the reservation process and is subject to availability.
Setup and Cleanup
Groups are responsible for:
- Setting up the room
- Returning furniture to its original arrangement
- Removing all personal belongings
- Disposing of trash properly
- Leaving the space clean and in good condition
Additional cleaning fees may be given to the reserver’s library card if excessive cleanup is required.
Cancellations
Please notify the Library as soon as possible if a reservation needs to be canceled. Repeated no-shows may result in loss of reservation privileges.
Liability
The Fallsburg Public Library, its Board of Trustees, employees, and volunteers are not responsible for lost, stolen, or damaged personal property.
The reserving individual or organization accepts responsibility for any damage to Library property caused during the event and may be charged for repair or replacement costs.
Publicity
Use of the Community Space does not imply Library endorsement of the organization, event, or viewpoints expressed. Promotional materials must not state or imply that the Fallsburg Public Library sponsors or endorses the event unless prior authorization has been granted.
Agreement
By submitting a reservation request, the applicant certifies that they have read and agree to abide by this Community Space Reservation Policy and accept responsibility for ensuring all participants comply with these rules.
